Access control vs mechanical keys for a small business
Compare revocation, guest access, audit records, outage behavior, and ongoing costs before changing from keys to electronic access control.
Start with the changes your business makes often
Count how often staff, contractors, and tenants change, how many doors they use, and who administers access. A one-room business with stable staff has different needs from several offices with frequent visitors. Electronic access does not have to cover every opening immediately. A designed combination of electronic perimeter access and mechanical internal locks may be practical, provided the remaining keys are still controlled.
Compare the operating tasks
Use the same door list and user roles when requesting quotes.
| Task | Mechanical keys | Electronic access |
|---|---|---|
| Issue access | Cut and record a key. | Create a supported credential and assign permissions. |
| Remove uncertain access | Rekey or change affected cores. | Revoke the credential and confirm device updates. |
| Temporary visitors | Recover keys or supervise access. | Use supported schedules or expiring permissions. |
| Review activity | Usually no electronic event record. | Records depend on the system and entry method. |
| Maintain service | Keys, cylinders, and records. | Devices, power, software, accounts, and records. |
Ask how quickly a revocation reaches the door
A connected controller, an offline lock, and a standalone keypad do not have the same update path. Ask the installer to demonstrate how a removed credential stops working, including during a network outage.
An event log records what the system observed; it does not necessarily establish who physically entered. Shared codes, a held-open door, or another entry route can limit the conclusion. Use individual credentials when supported.
Price the system over its useful life
Include installation, compatible hardware, software or subscriptions, credentials, battery or power maintenance, and service support. Confirm who owns the administrator account and how access is recovered if the original installer is unavailable.
Exit operation and any fire-alarm integration must be specified for the building. Have the responsible professionals review those requirements. Do not select fail behavior solely from a sales label or an app demonstration.
Common questions
Does access control eliminate every key?
Not necessarily. Mechanical overrides, cabinets, and unconverted doors can remain. Include them in the access inventory and key-control policy.
Will every electronic lock update remotely?
No. Some require local programming, a carried update, or a scheduled connection. Verify the actual system's update and revocation behavior.
